Your mission: You’ll provide principal support in an office by carrying out office procedures independently; handle a variety of situations and problems with little or no supervision; and maintain a high level of office decorum according to established protocols.
A typical day: You’ll be coordinating travel and preparing correspondence; compiling enrollment data and greeting visitors; arranging meetings and handling multiple budgets. SUMMARY
Provide principal support in an office by carrying out office procedures independently. Handle a variety of situations and problems with little or no supervision. Maintain a high level of office decorum and is thoroughly familiar with established protocol.
ESSENTIAL DUTIES AND RESPONSIBLITIES include the following. Other duties may be assigned.
Establish priorities for supervisor’s assignments.
Make judgments and decisions to keep office functioning smoothly in absence of supervisor.
Handle highly confidential information, both written and verbal.
Keep travel and expense records for supervisor.
Take and relay messages.
Perform word processing using a computer and the following software: ISIS, IFIS, HRIS, Oracle, Word, Excel and PageMaker.
Answer and screen telephone calls, handling multiple lines.
Compose and follow up on supervisor’s correspondence and other paperwork.
Handle multiple budgets.
Initiate and monitor budget transactions.
Operate office equipment, such as computer, copier, fax machine, typewriter, and calculator.
Schedule and confirm appointments for supervisor.
Compile data on enrollment.
Coordinate arrangements for meetings, conferences, and travel.
Prepare payroll.
QUALIFICATIONS
To perform this job successfully, an individual must be able to perform the essential duties and responsibilities listed above. The qualifications listed below are representative of the education, experience, knowledge, skills, and/or abilities required.
EDUCATION
Associate’s degree or equivalent. Four (4) years directly related work experience may be substituted in lieu of degree.
EXPERIENCE
Five (5) or more years progressive secretarial experience.
KNOWLEDGE, SKILLS, AND ABILITIES
Proficiency in word processing and spreadsheet applications
Excellent written and oral communication skills
Excellent organizational skills
Ability to work independently
